Session Policies & Terms
How scheduling, cancellations, travel, and billing work. Written plainly, because you should know what you are agreeing to before you agree to it.
Cancellations & rescheduling
Sessions canceled or rescheduled with at least 12 hours' notice are never charged.
Cancellations or reschedule requests made less than 12 hours before a scheduled session are billed at the full session rate for that day, as if the session took place. Each family receives one exception to this per calendar year; after that, the policy applies to all late changes.
If I need to cancel a session, I'll do my best to let you know by text or email at least 7 days in advance. Less notice than that means something unexpected has come up on my end. Either way, sessions I cancel are never charged, and any package-based discount is never affected by a session I cancel.
No-shows
A session where no cancellation or message is received, and the student isn't available at the scheduled time, is treated the same as a late cancellation and billed at the full session rate. I'll always be at the agreed time and place for the full scheduled session in case a student is simply running late.
Extended absences
For illness or family emergencies lasting more than one session, please reach out as soon as you're able. These situations are handled individually and in good faith. Extended absences due to genuine emergencies are not billed under the late-cancellation policy.
Scheduling
Sessions must be booked at least 24 hours in advance through the online scheduling system on Setmore.
Once booked, a session can be freely rescheduled up until 12 hours before its start time, at no cost, directly through the scheduling system.
Holidays & time off
The only holidays observed as standing time off are New Year's Eve, New Year's Day, and Thanksgiving. These are already blocked in the online scheduling system. No other holidays are blocked by default. Since most sessions run on a regular weekly rhythm, I'll also mention upcoming holiday closures during sessions as a reminder, since they're the exception to the rule.
In-home sessions
Consultations are always held online or in a public place, for my own safety and yours. Afterwards, in-home sessions are available to all families, at every pricing tier. A travel fee applies based on distance:
- 0–5 miles, or other locations I consider convenient: no additional fee
- 5–10 miles: +$5 per session
- 10–15 miles: +$10 per session
For locations beyond 15 miles, please reach out directly to discuss.
Pricing & payment
Invoices are sent monthly and reflect the sessions completed that month, billed at your current rate or package tier.
Payment is due by the last day of the calendar month in which the sessions took place. Accepted payment methods are Zelle and Venmo. Reach out directly to discuss alternatives.
Overdue balances
- 14 days past due: you'll receive a friendly reminder.
- 30 days past due: I'll reach out directly to check in. This is always a genuine, no-judgment conversation, and a good opportunity to talk through sliding-scale pricing if your circumstances have changed.
- 45 days past due: I'll follow up again with a specific date by which the balance needs to be addressed in order to continue scheduling future sessions.
- Around 60 days past due: if the balance is still unresolved by that date, I'll pause scheduling further sessions until it's settled.
Pricing tier changes
You're welcome to switch pricing tiers (Standard, Sliding-Scale, or Supporter) at any time. Changes take effect on your next invoice. Send a quick message and I'll send you the tier-change form, which is also linked in the footer of this site and included with every invoice.
Rates may increase over time, but current clients will never be asked to pay more than the rate in effect when they enrolled.
Ending services
Ending services is a natural, expected part of the process. Helping a student reach the point where they no longer need this support is the goal. There's no contract, so you're free to stop at any time.
Advance notice is warmly encouraged where possible. It lets me send the student off thoughtfully, with time to reflect on the progress they've made, and lets me share longer-term resources relevant to their goals.
Terms of service
By enrolling a student in tutoring services, the enrolling parent or guardian confirms they have the legal authority to do so on the student's behalf and agrees to these policies accordingly.
While every reasonable care is taken during sessions, Foundations First Education is not liable for injury, loss, or damage that may occur during in-home, online, or in-person sessions, except where caused by negligence on my part.
These policies may be updated from time to time. The current version is always available on this page and takes effect as soon as it's posted.
